The small print
Privacy
This page explains what we collect through this site and inside the rooms, why we hold it, how long we keep it and what you can ask us to do about it. The site is run by the people who keep the room, as private individuals. We handle personal information in line with the Australian Privacy Principles, and we have written this in plain words rather than in the usual shape.
Who is behind this site
There is no company here and no marketing department. The rooms on Level 2 are kept by a small group of hosts who also built and maintain this site, acting as private individuals rather than through any registered entity.
If you want to talk to a person about anything on this page, the quickest route is the phone number on the contact page. A host on shift can answer most of it immediately and will take the rest to whoever looks after the site.
What the form collects
The enquiry form asks for a name, a phone number, an optional email address, a subject and a message. Only the name, the number and the message are needed; the rest is there because some people would rather be written to than rung.
Nothing else is captured with the submission. We do not record where you came from, what you looked at before you wrote, what browser you are using or anything else that would let us build a picture of you. There is no hidden field on the form.
Please do not put health information, identification numbers or payment details into the message box. If an enquiry needs any of that, we will ask you for it on the phone or in the room instead.
Why we hold it
We hold what you send for exactly one reason: to answer you and, if you are booking, to hold the booking and tell you about any change to it. That is the whole purpose and we do not find other uses for it later.
We do not profile, score or segment the people who write to us. We do not build mailing lists from enquiries, and a booking does not sign you up to anything. If we ever wanted to send you the weekly programme, we would ask you first and you could say no without it affecting your seat.
Who can see it
Form submissions land on a screen behind the bar that only hosts on shift can read, and in a mailbox that the two people who look after bookings can open. Nobody else has access, and we do not give access to contractors, agencies or partners.
We do not sell, rent, swap or share personal information with anyone for any commercial purpose. The only situation in which we would hand something over is a lawful request from a court or a regulator, and we would tell you about it unless we were prohibited from doing so.
The site and the mailbox sit on hosting services that necessarily store the data in order to run. We have chosen providers who keep the data within Australia where we can, and we do not use third-party tools whose purpose is to collect information about visitors.
How long we keep it
Enquiries and booking correspondence are deleted within twelve months of the last message in the thread. There is no archive going further back than that, and we do not keep a shadow copy for sentimental or statistical reasons.
Membership records are a separate matter and are kept while the membership runs, plus a short period afterwards to deal with any question about payments. When a membership ends and that period passes, the record goes.
Inside the rooms
The door check is a look at photo identification, not a scan. We read your date of birth off the card, satisfy ourselves that you are over eighteen and hand it back. Nothing is photographed, copied or typed into a system.
There are cameras covering the foyer, the stairway and the bar for safety reasons. The footage overwrites itself on a short cycle and is only looked at if there has been an incident. There are no cameras in the middle room, the back room or the toilets.
If a host asks someone to take a break from a table, that conversation is not written down anywhere unless the person asks us to make a note so that other hosts know.
What you can ask for
You can ask what we hold about you, ask for a copy of it, ask us to correct it, or ask us to delete it. Ring the desk or write through the form, and a host will handle it or pass it to the person who can.
We will act on a request as soon as we practically can, and in any case within a month of being asked. There is no charge for any of it, and we will not make it awkward or ask you to explain why.
If you think we have handled your information badly, tell us first and give us the chance to fix it. If that goes nowhere, you can take the matter to the Australian privacy regulator, and we will co-operate with whatever they ask of us.
